At Woodlands Bodyshop and Woodland Autos we take extra care regarding the storage of personal and sensitive data. The 2018 GDPR which takes effect from the 25th May 2018. Article 5 of the GDPR “requires that Personal Data is retained for no longer than it is necessary for the purpose for which it was processed”.

We only retain your data for our legal and regulatory obligations.

Below we have detailed information of how we use and protect your data.

Who is the Data Controller?

The Data Controller is Rob Denham – Woodlands Bodyshop Manager.

What is Personal and sensitive data?

Personal data is data which can be used to identify you. This could include your name, address, email address and telephone number etc.

Where will you store my data?

Any details we hold will be stored on our own internal electronic database system, for which we also hold securely stored hard copies.

We “back up” our invoice and estimate copies to a secure cloud storage system based in the EU as required by the GDPR act.

How will you use my data?

We will only use your data to support our legal obligations.

We do not use your information for marketing purposes and do not share your data with any organisations for marketing purposes. We do not sell your information to any other organisations.

We will never share your information with anyone unless we have your permission or are required to do so by law.

How long do we retain the information we hold on you?

Article 5 of the GDPR “requires that Personal Data is retained for no longer than it is necessary for the purpose for which it was processed”.

We only keep invoice associated information for no longer than we are required to do so by law, after which time the information is securely disposed.

Copies of Estimates and Vehicle Appraisals, where the work has not been carried out or a vehicle not purchased are kept for a period of 12 months.  This time period gives reasonable time for us to have a copy of the estimates and prices we have offered for specific work or goods, allowing a customer to contact us in relation to a particular estimate.

Should you wish us to destroy your estimate or vehicle appraisal records, please email us at: info@woodlandsbodyshop.co.uk and we shall respond accordingly.

What rights do you have to your personal data?

You have a right to ask for a copy of the information we hold about you and correct any inaccuracies. Under the General Data Protection Regulation 2018, we are required to respond to your request within 40 days.

If you would like a copy of the information we hold about you, please email info@woodlandsbodyshop.co.uk.
